Balancing Content In Newsletters

Balance As A Concept: Balance in any written work is not always an easy thing to make plain but, if you think in terms of scales, one weight must always be balanced by another. The same applies to newsletters and newsletter articles, except that the balance must necessarily be in terms of the content itself or its format (the layout and the look of the newsletter or article). In this piece we are focalising more on content than layout but the accepted ‘rules of balance’ will always apply. Despite the confusion that can spring up in the minds of some writers, it really isn’t too hard a concept to grasp. A certain amount of carefulness is necessary though, as it can be only too easy sometimes to vary the whole tone of an article, or indeed a newsletter, without meaning to.

Visual Balance: In visual terms it is fairly easy to acquire balance. An abundance of text in a small, cramped typeface cries out to be balanced by ‘white space’. You can also use pullquotes to break up an article and experiment with different sized headlines. A sidebar can add a new dimension to a page. The inclusion of clipart or other well-placed pictorial matter can add variety to a publication and even little known typefaces can sometimes be very effective contributors to the overall balance. Color is another consideration. However, important though these things can be when used as balancing elements (and always in moderation, of course) they are all basic design features and therefore outside the scope of this article.

Content Balance: In terms of the newsletter content, serious matter needs to be balanced by an opposing amount of light matter; ‘one-off’ items can be balanced by serialized material, instructional or ‘how-to’ articles by question and answer features etc. It is much more of a ‘balancing act’ though, than is the case with the visual aspects, because there is no way of measuring whether or not you have got the ‘mix’ right. It’s the reader’s perception that matters and the publisher needs to employ a little empathy, coupled with her own instinct and experience.

A Lighter Vein: The most popular way to introduce a lighter vein into a newsletter or similar publication is to employ comedy. This can be done by the inclusion of jokes, cartoons, funny stories, nonsense verses such as limericks-even simple clipart caricatures incorporated into article headings. Obviously, gratuitous humor is nowhere near as effective as topic-focused humor. A cartoon that gives an amusing slant to the main topic on the page, even if the association is somewhat tenuous, tends to be far more ‘balancing’ than one that does not seem to have any obvious link to the subject matter at all. Sometimes it might even unbalance things. Another word of caution too, especially if you write your own material; make sure that anything you include because of its humor value cannot be mistaken as simply facetious comment. If your sense of humor tends towards the quirky and you’re unsure whether everyone will ‘get the joke’, err on the side of prudence and leave it out.

Quizzes And Puzzles: These can prove very welcome as a method of balancing content and you do not have to be a writer yourself to know that crosswords are one of the most popular pastimes ever devised. As with most other fillers, topic-focused material tends to be more effective than non-topic specific copy but it does not need to be anywhere near as relevant to the subject as is the case with humor or advice-type features. Don’t underestimate the potential that these types of items offer your newsletters. Many people scan every publication that falls into their hands for their crossword ‘fix’.

Giving Advice: Any kind of ‘advice’ items can better newsletter balance. The best types are usually of the regular ‘tips’ variety. ‘This Month’s Car Tips’, ‘The Weight Loss Column’, ‘Household Hints’, are all examples of the types of titles that might be used. Included as part of this genre would be astrological prognostications or ‘What the Stars Say’. Admittedly, these would be entirely inapplicable for many newsletters; they would need to have very specific readership profiles for them to be considered desirable. But, for the right type of readers, they could prove a very worthy addition. Recipes and similar items are also forms of ‘advice’ fillers but, popular though they might sometimes be, the same reservations apply for them as they do for astrology columns.

Over the last ten years the number of paper newsletters has increased dramatically; up to ten times more in the United States than previously. This has happened mainly because of the current widespread growth in ownership of personal computers

The fact is that newsletters, which need little in the way of extra skills other than those that most people who have a computer of their own and a desktop printer already have, can be published remarkably easily. Newsletters produced at home make a substantial contribution to the numbers of new publications on the market even though the quality of some may place them at the bottom end of the scale.

It does not require a lot of effort to produce an electronic newsletter compared to that required for a hard copy one. The costs are insignificant too and the finished product is ready for distribution immediately without the need for further preparation, processing or, of course, printing. That is why the growth figures for e-newsletters are so much more impressive even than printed newsletters.

Ezines and e-newsletters are more popular now than they ever were, largely due to the ease with which they can be produced electronically and the speed at which they can distributed over computer networks, or the Internet. The predominance of these types of communication has been little short of phenomenal. Every conceivable topic is included and every possible group that can be thought of is covered. Their development as a form of communication was so rapid that they became totally established within the first ten years of the Internet.

The perception that the electronic format is not to be trusted is a hard one to dispel. People are still more used to the feeling of permanence that they get from paper newsletters compared to the fly-by-night reputation of some ezines. Also, there are many who have always readily believed what they read in print but who have a totally different perception of what they read online.

From a practical point of view, the choice of format is often not an issue. If the target market is confined to a small area or if the people that make up that target market are not likely to be online in large numbers, then hard copy is the obvious choice.
